Purpose

The purpose of the Multichart Excel Tool is to aid the the multichart compiler and thus save time working out the charts.

How it works.

Members charts are cut and paste in the 'Chart Submitted' sheet.

Then when ready an add votes process can be done.

This is two stages, firstly extracting what members actually wish to vote for from there post, allowing for all the rather different ways members post there chart - and then matching those votes to tracks known or unknown.

When this is complete, there is a sheet showing what has happened. Colour coded for ease of checking.

GREEN items have a clear match (89%+ match to a known listed track)

YELLOW items have a likely(74% to 89%)match. Votes will be counted but some strange difference, maybe artist or track is known is different way. See above mis-spelling of 'soulmate' as 'soulamte'. Other common things are missed or added words.

WHITE items indicate no match found. See example below.

With the matching up of tracks, the process then progresses onto the voting.

Voting is done on a master list, and each members submitted chart is added one by one, something like the Eurovision updates.

During update of Tyron's votes

After a members votes are complete, the list is resorted so the tracks with the most votes are listed at the top.

In the above the votes column lists the members that have voted, this ensures traceability on votes in case something is required to be checked.

Technical Requirements to run the tool.

The tools is written in Excel using the macro ability.

Microsoft Excel is required, ideally Office 2003 version although could well work with other versions(Excel XP and Excel 2007 but don't have a copy to test at the moment).

Because the Tools uses macros to work out most things, the macros security has to be set so macros can be run.

Within Excel it's -> Tools->Options -> Security (Tab) -> Macro Security (button). Either Medium (and confirm every time you run a macro) or Low and will just work fine.

Questions and Answers.

Can it handle charts where members submit track name then artist?

Yes, makes little difference the order the track or artist is given, although it helps speed and accuracy of matching if the track and artist are separated with some dash, or other symbol(s).

Will it handle any charts or different length. Top10, Top20 , Top40 etc?

Yes, will handle anything from just 1 to Top100.

Can charts be submitted in reverse, some members count down from 40 to 1 instead of up?

Yes, no problem.

Can chart runs and other numbers and words be added about a submitted chart?

Yes. There is a setup to extract various common things that people write over there charts. Like 'Highest Climber' etc

Tested 200+ submitted charts now, and seems to work fine.

How does it handle misspellings?

Each week there are a lot of misspellings and missing things in artist names and track title, even so, the matching is done in great detail even checking to see if there are the same words or same letters combination used. There does come a point where it does say it's not matching however.

An example recently was a members chart with 'Christina Aquilera - Back to Black'. Now either this is a new track by Christina or it's suppose to be 'Amy Winehouse - Back to Black'. In this case the match was not quite enough and no vote was made because there was not a good match to any track.

Can it handle images of covers   and other pictures among the chart

Yes, no problem

Can :no1: image be used for the #1?

Yes, no problem - the extraction can now handle this oddity.

Is there anything the match doesn't work out?

Yes, if there is an illogical chart submitted, say the numbers are not sequential or duplicated, then this throws it a bit - although the tool makes a guess and continues regardless.

How long does it take to do the Buzzjack Multichart using this tool?

When your used to it, cutting and pasting takes a few minutes.

The process of matching charts and voting takes typically 5 to 10 minutes for 40 members charts.

Depending on how accurate you want to be with things that don't always match, you may want to adjust and re-run, which then takes extra time. Allow 30 minutes or perhaps more while tool is under development.

What happens when new tracks are found, why aren't they added to the chart?

New tracks are added as soon as two or more members vote for them(not just one which would end up with a lot of typos perhaps). Or they can be added to the tracks sheet manually at any time, track names or artists can also be updated at any time.

What about tracks that have two names?

Every track can have an alternative name. 'Marija Serifovic - Molitiva' AND 'Marija Serifovic - Destiny' match as the same thing.

the same is the case for artists names. So for example 'Mel C' = 'Melanie C'

How many Personal charts can it handle in one go?

Current development version can handle 128 charts, may increase with a future version.

Can The Album Chart be done as well as the Single Chart?

There would seem to be no difference, although there would be an Album listing instead of a Track listing, this has not yet been tested.

Wow, this sounds really useful :o ^_^ Could cut the compilation time drastically, thanks Ricky! :funky:

Will we be able to get it?

It's really for the Multichart moderators, current and future. Members just submit there charts in the normal way.

So I don't really see the point in anyone else having it.

Seemed a good idea to make a thread about it, as it will be helpful to any future moderator wishing to use it.

So when and how exactly do we get this then? ^_^
Do you have Excel?

I'll send you it in an email if your interested, not immediately as well setup some thing first and try it out on Albums.

I do have Excel ^_^

And that sounds good :D

Thanks for this Ricky, it's very useful info. :)

I agree with what Perry said.

It's a great tool to use :o

Ricky - I may be being stupid and grasping at straws here but would this sort of thing work with the BuzzChart?

You know, Graham, I was just wondering if it would work with the Rate as well....

It's worth a shot?

But don't you use Excel for the rate normally anyway? I have when I've done normal rates?

It's confusing.

I just don't have a lot of time to waste atm adding up thousands of pms so if this can be used as a shortcut It'd be great.

I don't have excel, I have a free thing called Openoffice org spreadsheets. I do use that for the rate.

I assume it would work too for the BuzzChart, doubt it would for the rate though :(

And I use OpenOffice too :o Except I already have Excel so I just use that normally ^_^

It's not going to work with the BuzzChart or the Rate at the moment.

It's wants something in an ordered list, where 1 is the highest, 2 is second highest etc.

Neither the rate or the Buzzchart are like that.
